BAM FM is looking to recruit a Contract Administrator to support the contract management team. Reporting to the Support Services Manager, this role will be based in our office in Salford, Manchester.

About the role
• Understand completely the functions and operations of Concept Evolution Management System.
• Understand the technical aspect of the service delivery of the company commitments to PPM contracts.
• Provide support to the ER department relative to Contract Operations within the planning and PPM processes
• Ensure that Concept is fully updated at all times with relevant information for Planning, Subcontractor appointment changes, Log Books, Statutory data logging.
• Ensure all the correct documentation upon a contract renewal is provided to site for log book updates where applicable.
• Ensure the PPM action sheets planned for the new phase of a contract are prepared and issued to the Contract Supervisor.
• Liaise with the Contracts Manager and Contract Supervisor upon the renewal of a contract to ensure the correct and or revised subcontractor(s) are appointed and their visits planned throughout the phase.
• To support the Support Services department in conjunction with the liaison with subcontractors and engineers as and when required for Planned Preventative Maintenance operations.
• When necessary updating the Call Scheduler to suit any changes requested by ER dept and approved by the ER Manager ensuring no delays to PPM visits are rescheduled.
• To liaise with in-house engineering administration staff in order to ensure that our contractual requirements are met in full for PPM activities. This will include the liaison with the ER Manager regarding the allocation of labour for Planned Preventative Maintenance and ensuring correct call numbers are generated.  All relevant information will be logged in the Concept database and actioned accordingly and where appropriate, passed onto the Client.
• Undertake quality control in accordance with BAM FM Ltd Policies & Procedures: promoting good working practice throughout the Support Services department reporting to them, in terms of QA delivery (statutory requirements, PPM updates, subcontractor appointments, site visit records, statutory certification and all associated auditable materials and functions).
• Communicate at all levels, both internally from Support Services team to Contract Management and at client level where applicable.
• Ensure delivery of Customer Care & Satisfaction across all contracts to both client facing situations and also promotion of the policy to the Support Services team, developing improvements where required at the local and site specific level.

• Excellent communication & organisation skills.
• The ability to multi-task, work under pressure and to your own initiative.
• Customer Care / Satisfaction Skills in a client facing environment.
• Understanding of service level agreements, service targets and objectives.
• Understanding key performance indicators and the importance of them to maintain delivery standards and performance both internally and to the client.
• Strong IT user skills in Word, Excel, Powerpoint, Computerised Maintenance Management Systems (CMMS) and Finance package software.
• Proactive and flexible in approach to both external and internal clients.
• A proven team player in an operations based environment
