BAM FM are recruiting a Contracts Administrator based out of Hemel Hempstead office.

Reporting to the Contract Manager you will be required to manage planned and reactive aspects of the Service Delivery and organise the full life cycle of all facilities management work; from customer enquiry to job completion. Deliver excellent customer service, interpret and manage work orders through the Concept Evolution system ensuring that contract SLA's and KPI's met. Provision of administrative support as required.

About the role
Principle Accountabilities:
• The administration of the HVAC maintenance helpdesk activities and service requests
• Promote and deliver the highest possible level of customer care and client communication at all times
• Establish and maintain effective communication links between The Operations delivery team, Client and End User across the contracted portfolio
• Coordination of FSI Concept Evolution CAFM System. Programming and issuing of pre-planned and reactive tasks to the engineering team or sub-contractors based on the correct skills sets, geographical location and service delivery arrangements.
• Administration and retention of all PPM and reactive records on CAFM database
• Providing tracking and regular updates to the Contract Manager and Client to the status of the requests through to work complete status in line with Service Level Agreements (SLAs)
• Prioritise urgent jobs demand, reacting promptly to Health and Safety risks identified as part of a planned visit
• Procurement, liaison and instruction of parts/specialists on behalf of the Operational Delivery Team
• Collation and submission of daily, weekly, monthly annual reports to include reporting on SLA's/KPI's as required
• Respond and escalate any customer issues/complaints as required and support continuous improvement activity to reduce levels of customer dissatisfaction
• Continuous Analysis of job history/running reports to minimise deficiencies is the service provision and avoid duplication.
• Collation of all information relating to reactive and additional works tasks ready for submission for invoicing
• Administering Operational Delivery Team holiday and absence records
• Ad hoc administration duties.
• Complying with corporate health and safety, quality, environmental system requirements ensuring compliance with all legislation and BAM FM policy and procedures.

Who are we looking for?
To succeed in this role:
• Understanding of the FM business.
• An excellent telephone manner.
• Excellent time management skills.
• Ability to work under pressure and meet tight deadlines.
• Working knowledge of MS Office including Excel and Outlook.
• Experience in using Concept Evolution.
• GCSE's minimum Grade C in English and Maths.
