BAM FM is currently looking for a Project Administrator to join the FM team based at Thomas Bennett Community College, Crawley. Reporting directly to the Facilities Manager, you will be required to support the FM team for all administration, procurement and reporting.

About the role
• Call handling of reported Reactive tasks
• Become a Concept Evolution super-user to support engineers and cleaning supervisors with training and use of FSI Go devices
• Ensuring that the office environment is in line with H&S considerations
• Oversee the budget lines for stationery and that the project has the minimum requirements at all time.
• Supporting the sub-contracted elements of the contract
• Play a leading role in maintaining and improving the projects involvement in the BAM FM Management Systems (Quality Management, Environmental, Health and Safety)
• Assisting the Facilities Manager, Deputy Facilities Manager and Contracts Manager with PPM planning, asset management, lifecycle reporting and other services including soft FM and mechanical and electrical services planning and reporting.
• Facilitating the Maintenance and replacement of furniture, fixtures and equipment over the term of the contract (life cycle costing).
• Assisting sites covered with materials orders including the sourcing of quotations, keeping the purchasing system up to date and invoicing queries
• Assisting the Facilities Manager/Deputy Facilities Manager with monthly reporting to the Local Authority including updating finance of monthly deductions and raising proformas for all chargeable events
• Arranging and attending meetings and taking meeting minutes when required.
• Assisting with general administration tasks such as filing, photocopying, scanning, general clerical duties and answering the telephone in a polite and professional manner and providing support by logging all self-reports from the site team and providing additional support as required to the management team in Crawley
• Have knowledge of statutory compliance processes and procedures.
• Ensuring that all BAM FM policies, procedures and standards are in place and adhered to.
• Assisting management team with Authority Notice of Change.

Who are we looking for?
• Good numeracy/literacy skills / GCSE (or equivalent) Maths and English
• Extensive knowledge of Microsoft office and CAFM systems
• Willingness to develop knowledge of use of ICT and other specialist equipment/resources
• Ability to work without direct supervision
• Ability to relate well to children and adults
• Knowledge of Statutory Compliance, Health & Safety procedures and precautions and moving and handling procedures.
• Willingness to participate in development and training opportunities
• Willingness to occasionally travel to our regional helpdesk to review helpdesk performance.
• Demonstrate a flexible attitude and willingness to work as part of a team. Show the ability to assist other team members in the discharge of their duties
